Which Computer Based POS System Should You Choose?
There are two kinds of POS Systems available in the market: a web-based program and a software-based POS. Both types can be used in business although many believe that a software-based (or computer based) POS is the better choice.
Web-based POS systems can only be accessed through the internet and these are normally run by companies called “service providers”. Many companies opt for this because they are sure that their files are safely backed up in the provider’s server. All their data would be safe in the eventuality of computer crashes or thefts. Web-based systems are relatively cheaper than software based POS and easier to upgrade. The downside of this service is that it is totally dependent on the internet. If your server or ISP bogs down, you and your staff would not be able to access the program, thus stalling your operations of your business.
Despite coming out slightly more expensive than web-based systems, most companies would rather have software-based or computer based POS installed in their establishments. Businesses prefer this type primarily because they only need to shell out a one-time purchase and installation fee, unlike web-based POS where one must pay a monthly registration fee. Computer-based programs are quite versatile and can be installed (and will be compatible with) on any computer hardware. These are easy to set up and are quite often, user-friendly. In addition, management is assured that they can access their files at any time, with or without any internet connection.
Admittedly, software-based programs also have their down sides. If you need to upgrade or update the system, you will need to purchase new software or licenses. In case the systems malfunctions and you require technical support, you would have to call their main office and probably wait for a technician to visit your office. Plus, access to your files is limited. You can only use your office computer and cannot download information anywhere else. However, when you really evaluate things, how often will you need upgrades or updates anyway? If you use your program as instructed and all your employees have been trained well, how often will it bog down? Would it maim your business if you needed to wait for a technician to fix minor glitches? Finally, how often and where else would you want to keep track of your inventory and reports anyway? Do you really need to check this from home (or from your hotel room in Tahiti)? You can, after all, just print out the data that you need and bring these with you.
Faced with the pros and cons of both kinds of POS systems, the decision as to which kind of POS system to use on your business rests solely on you. Select one based on your establishment’s present and projected needs, and your finances. Only you can determine which one will best suit your enterprise.
